Job Posting: Administrative Assistant to the Superintendent & KAPE Coalition Assistant
School District: ISD #361 (International Falls Public Schools)

Location: International Falls, MN

Position Type: Full-Time, Permanent (Split Role)

Schedule: Approximately 2–3 days per week per role, adjusted based on District and Coalition needs.

Position Summary
ISD #361 is seeking a versatile, high-level professional to fill a unique dual-role position. This individual will serve as the Administrative Assistant to the Superintendent and the KAPE (Kids Active In Prevention Education) Coalition Assistant (a grant funded position).

This position is designed for a forward-thinking, digital progressive who can balance the high-stakes confidentiality of the Superintendent’s office with the creative, community-focused mission of the KAPE Coalition. We are looking for a collaborative and independent learner who can use advanced technology to create digital handbooks, manage complex data, and lead community outreach efforts.

Part 1: Administrative Assistant to the Superintendent (Lead Support)
Focus: Executive Operations, Digital Infrastructure, and Data Management and Digital Framework Development

●      Executive Support: Manage the Superintendent’s schedule, coordinate Board of Education meetings, and handle sensitive personnel information with absolute discretion.

●      Digital Content Leadership: Use advanced apps to design, build, and maintain district digital handbooks, internal platforms, and communication portals under the Superintendent’s supervision.

●      Data Mastery: Utilize Spreadsheets and Google Workspace to create and analyze data sets that inform district-wide decision-making.

●      Professional Writing: Draft high-quality reports, official correspondence, and public-facing documents that reflect the district’s professional branding.

Part 2: KAPE Coalition Assistant
Focus: Community Prevention, Outreach, and Creative Support

●      Coalition Support: Provide day-to-day administrative and project support to the KAPE Director to ensure the smooth operation of drug-free youth prevention programs.

●      Creative Marketing: Create engaging designs for flyers, social media updates, and outreach materials using tools like Canva.

●      Community Networking: Maintain positive communication with coalition members and community partners; help plan and staff events, trainings, and youth activities.

●      Communication: Draft announcements and newsletters to keep the community informed and engaged with prevention efforts.

Qualifications & Key Skill Sets
●      Advanced Technology Skills: Mastery of Google Workspace and other progressive digital platforms and applications is required. Must be able to use technology apps to create digital platforms and handbooks.

●      Exceptional Writing & Communication: Superior ability to write for different audiences, from formal Board reports to engaging social media content.

●      Confidentiality: Proven ability to handle sensitive information with the highest degree of integrity.

●      Organizational Mastery: Ability to manage two distinct sets of responsibilities, prioritizing tasks effectively across different departments.

●      Progressive Mindset: A creative thinker who is an independent learner, positive mindset, stays ahead of digital trends, and is willing to troubleshoot new software and create digital district platforms.

Education and Experience
●      Preferred Associate’s or Bachelor’s degree in Business Administration, Communications, Technology, or a related field preferred.

●      Previous experience in an executive-level administrative role or a community-based non-profit/educational setting is highly desirable.

●      Demonstrated experience in digital design, content development and platform management.

Full time, starting pay is $22.59- $24.43 per hour
