Job Summary
To inspire and prepare all students with the confidence, courage and competence to achieve their dreams; contribute to community; and engage in a lifetime of learning by providing administrative support and assistance to the Superintendent and School Board.
The Administrative Assistant supports the School Board by preparing for Board meetings (agendas, supporting documents), completing meeting minutes and providing secretarial and administrative support in the preparation of correspondence, reports, graphs, charts, and other materials. The Administrative Assistant drafts and keep track of department expenditures and budget balances; provide assistance and support in departmental projects such as coordinating and managing Board elections, researching laws, arranging for conferences, committee meetings, special events or receptions; and ensuring that information about the School Board and Superintendent, as appropriate, is published in district print and electronic media. The Administrative Assistant supports the district’s General Counsel in all aspects of maintenance, review, revision and publishing of district policies and procedures. This position requires an elite level of confidentiality and professional diplomacy.
Essential Duties and Responsibilities
Support the Superintendent and School Board as the lead person to plan for all school board meetings including all logistics, development of processes to successfully convene meetings (in person and remotely), and publishing print materials. (60%)
Attend regular School Board meetings and work session meetings, complete meeting minutes, publish board meeting minutes in accordance with MN state law; attend other School Board meetings upon request.
Prepare the board meeting calendar, secure facility permits and arrange logistics for School Board meetings.
Assist the Superintendent in the preparation of Board meeting agenda items, including required reports and presentations.
Assist the General Counsel with all aspects of the Board’s policy work, including preparation for policy committee meetings, management of the electronic files of all policies, and facilitating the update of policies and procedures on the district website based on action taken on said policies by Board action.
Build board meeting agendas using the designated document management tool to publish agendas and supporting documents prior to meetings.
Collaborate with administrators to assure all supporting documents are assembled and provided for meetings.
Ensure Board meeting schedules and materials are accessible by members of the public through print and web-based options.
Follow up on any required Board administrative actions and respond to Board member requests for additional information or specific requests for support.
Ensure that School Board meetings are video-or audio-recorded, according to established guidelines.
Assist with communication to School Board members; arrange logistics for attendance at professional conferences.
Performs support functions for the Superintendent’s office. (20%)
Interact with staff, students, and members of the community on behalf of the Superintendent and School Board.
Collaborate with and provide back-up assistance to staff within the Superintendent’s Office.
Create and maintain various databases, documents, files and records for the Superintendent.
Screen calls and walk-ins and handle a variety of questions, issues or concerns to assist the Superintendent and School Board members.
Determines when it is appropriate to address concerns and questions and when issues should be submitted directly to the Superintendent, School Board members, or other staff.
Serves as the budget manager for the Superintendent, School Board, and election budgets. Includes miscellaneous office support. (10%)
Prepare and submit annual budgets; monitor accounts.
Approve payment of recurring/contracted accounts.
Submit line item transfers as appropriate.
Review past and proposed budgets to develop budgetary recommendations.
Plan, organize and implement school district bond, levy and School Board elections in accordance with MN election laws, rules and training. (10%)
Maintain current Election Clerk Certification training through Hennepin County Election Administration.
Administer School Board general and special elections in accordance with MN election law.
For general school board member elections, administer and file completed Affidavit of Candidacy forms with Hennepin County.
Ensure compliance with election-related requirements, including voter notification, legal notice publications, and other actions required by law.
Ensure, in collaboration with the School/Community Relations Director, that election information is included in district communications.
For special school board elections, hire, schedule and train election judges to staff polling locations, arrange for leasing and testing of voting equipment as required by law.
For special school board elections, order and assemble supplies and arrange for distribution and collection of materials for polling places.
Tabulate election results, prepare abstracts for the Board canvassing meeting following the election.
Publish election results in accordance with MN election law.

Minimum Qualifications
Associate degree, two years of college coursework, or other equivalent.
Five (5) years of experience in the area of executive administrative support.
The selected candidate is required to attain certifications as a public notary and election clerk within one month of hire.Note: the district will work with the selected candidate to attain these certifications if the individual does not already have them.
Preferred Qualifications
Experience in a K-12 school district environment.
Essential Knowledge
Fundamentals of general office and general administrative procedures and operational requirements.
School Board policies and district administrative procedures.
Laws, rules, regulations and guidelines pertaining to school elections, data privacy or other rules pertaining to the work.
Office equipment and typical productivity software, databases or applications used within the district and their use.
School administration functions, district organization, and services provided by school districts.
Fundamentals of office organization, records retention and records management principles and practices.
Essential Skills
Customer service and interpersonal skills in assisting internal and external customers with concerns and requests for information.
Supervisory skills (e.g., overseeing election judges).
Word processing, database maintenance, spreadsheet creation and use of presentational graphic programs or other office productivity software; familiarity with web content management systems.
Coordinating, prioritizing and leading the administrative support activities, and secretarial activities and responsibilities within an office.
Applying basic math skills in adding, subtracting, dividing, multiplying, calculating percentages, ratios, averages or percentiles.
Organizing; making arrangements for and carrying out departmental projects; coordinating events and activities.
Performing work assignments requiring attention to detail, precision and accuracy.
Performing all assigned functions with minimal direction in accordance with established management, departmental operations, and work methods.
Hiring Range: Pay Grade 110, $72,064 to $89,630 annually (see memorandum of understanding regarding updated salary ranges)
Job type: Full-time, 260/261 days per year
