General Purpose of Job: To inspire and prepare each and every scholar with the confidence, courage and competence to achieve their dreams; contribute to community; and engage in a lifetime of learning by providing administrative support to the Assistant Superintendents of the Division of Leadership, Teaching, and Learning (DLTL). Answer correspondence and assemble highly confidential and sensitive information. Interact with a diverse group of external customers as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, organize and carry out a diversified workload, and make recommendations for changes in office practices or procedures.
Job Summary: The essential functions of this position include, but are not limited to, the following essential duties:
Provides administrative support for the DLTL Assistant Superintendents.
Maintain the Assistant Superintendents’ calendars, commitments, and email.
Organize, plan, and make all arrangements for a variety of meetings, events, conferences, appointments, training sessions, special meetings or other events facilitated by the Assistant Superintendents.
Maintain and track work year calendars for Assistant Superintendents and lead principals.
Organize, plan, and make all the arrangements for DLTL administrative interviews.
Proof, edit and assist in the revision of correspondence and documents.
Compile, research, or gather information and data requested.
Promptly communicate emergency situations to Assistant Superintendents.
Prepare correspondences, reports, graphs, presentation slides, binders, and other materials.
Assign and prioritize work activities and projects performed within the office.
Create and maintain various databases, files and records.
Interact with staff, students, and members of the community on behalf of DLTL.
Act as a liaison between parents, students, community and site/department staff.
Screen calls and walk-ins and handle a variety of questions, issues or concerns to assist DLTL.
Determine when it is appropriate to address issues and questions and when issues should be submitted directly to a DLTL Assistant Superintendents.
Collaborate and support staff assigned to DLTL.
Provide administrative support to the Operations Coordinators and other department staff.
Assist with planning and coordination of stile/department events.
Schedule meetings and reserve meeting rooms.
Coordinate the printing and distribution of various types of communication (e.g. emails, letters, and binders) to staff or the public.
Submit business forms, requisitions, orders and school board approval forms.
Create and maintain various databases, files and records.
Perform other comparable duties as assigned.
Assist in various office projects and activities as directed or as part of ongoing duties.
Minimum Qualifications include:
High school diploma or equivalent.
Previous administrative support experience that includes some experience in school district administrative support functions and responsibilities preferred
Knowledge, Skills, and Abilitities include:
High level of professional customer service and human relations skills in assisting, screening, handling and dealing with informational requests of diverse populations.
Performing work assignments requiring attention to detail, precision, and accuracy.
Strong organizational skills and ability to multi-task.
Proficiency in office equipment and standard productivity software (Word, Excel, Google, and Publisher).
Ability to adhere to district policies and Minnesota laws, regulations, and guidelines pertaining to data privacy.

Job Type: Full Time, 260/261 days
