EARLY CHILDHOOD ADMINISTRATIVE ASSISTANT

Position Overview:
Provide office support for Early Childhood programs, including Early Childhood Family Education (ECFE), Early Childhood Screening (ECS), and Centennial Preschool (CP). Provide efficient and courteous communication between staff, parents, students, and the general public.
Contract Days: Student Contact Days + workshop week/special event hours
Reports To: Early Childhood Coordinator
8 hours/day
204 contract days, including 9 paid holidays
ESSENTIAL DUTIES:
● Perform receptionist duties for the Early Childhood Center, including the ECFE and CP programs
○ Greet visitors, answer telephones, answer questions and refer people to appropriate resources
○ Track substitute badges and keyfobs
○ Monitor Early Childhood and EC Screening email accounts, answering when appropriate and forwarding messages as necessary
○ Attend district security trainings and monitor visitor management system
● Serve as first point of contact for families of young children moving into the district
○ Monitor Early Childhood generic email, responding or forwarding as appropriate
○ Communicate information on special education referrals, ECFE/preschool programs, kindergarten registration process
● Gather, sort and distribute mail and packages
● Monitor attendance for all programs
○ Transfer ECFE attendance from Eleyo into Campus
● Assist Specialists with finding substitute teachers and paraprofessionals
● Manage building schedule and room calendars so that all users of the Early Childhood Center have necessary access
○ Coordinate with ECSE PT/OT team on gym schedule
○ Review bookings made through Outlook, resolve conflicting needs
● Complete monthly processing of birth records
○ Identify in-district births
○ Prepare mailing of welcome packets
● Assist with Early Childhood Screening program
○ Make appointments in Eleyo
○ Prepare and send Ages & Stages and Google Form questionnaires
○ Create files
○ Send follow-up emails for cancellations, no-shows, rescreens
○ Record out-of-district screenings in Infinite Campus; confirm information is up-to-date for kindergarten registration
● Assist with CP contracts, accounts, collections, financial aid applications
○ Send scheduled emails to overdue accounts
○ Accept payments in person and by phone
○ Prepare Pathway student files
● Maintain public resources, including take-home totes, bulletin board, brochure racks, office waiting area
○ Monitor checkouts
○ Confirm all contents present, replace missing items
● Schedule and prepare work to office volunteers
● Manage workroom supply inventory
● Provide basic troubleshooting for printer/copier, applications, and computer hardware; escalate issues to Help Desk staff or copier vendor as needed
QUALIFICATIONS, KNOWLEDGE, SKILLS
● Demonstrates skills in organization, verbal and written communication, and working with children and families of diverse backgrounds
● High school degree or equivalent
● Training or equivalent experience in office/clerical procedures, computers/technology, and communications preferred
● Knowledge of Google Workspace and Microsoft Office is required
● Knowledge of the school district is preferred
● Ability to lift up to 35 lbs in connection with the handling of children for the facilitation of programs, child safety, and potential emergency situations
