Payroll Specialist

POSITION SUMMARY:
This position is responsible for processing all district payroll in accordance with all federal, state, and district regulations and policies.

PRIMARY JOB FUNCTIONS:

  • Issues paychecks for employees in multiple bargaining groups; withholding appropriate taxes, levies, garnishments, retirement and other deductions.  Prints paper checks and transfers direct deposit file to bank each payday.  Processes stop payments and check reissues as necessary.  Handles due diligence on unclaimed properties per state regulations.
  • Maintains accurate and up to date payroll spreadsheets, profile information, files and other information.
  • Processes account code transfers.
  • Audits payroll information to ensure that data is correct on payroll system and spreadsheets.  Researches and resolves differences.
  • Provides assistance to all employees and supervisors relative to payroll and time off questions and concerns. Proactively communicates  with employees to inform them of pertinent information relative to their paycheck.
  • Resolves complex employee inquiries, problems, or issues relating to payroll.  Identifies when corrections are needed and initiates correction if appropriate.  Explains outcome clearly to employee, confirming that employee understands the information.
  • Communicates with employees instances of overpayment that require repayment, as well as repayment options available to employee.
  • Reviews paper and electronic payroll vouchers for accuracy of hours and account code information as well as proper authorization.
  • Manages electronic time off request system and employee leave usage and ensures requests are within the employee’s available and allowable time off per their employment contract.
  • Completes quarterly audits of electronic time off system relative to electronic substitute request system ensuring accuracy of available time off for staff.
  • Completes employment verifications, earnings reports and other requests for information.
  • Reports all required state and federal information within designated timeframes.
  • Performs all duties and tasks in compliance with legal and regulatory requirements.
  • Maintains sensitive records to protect information from unauthorized access.
  • Sets up and maintains employee login information for the electronic payroll and time off system.   Provides training to employees during orientation and managers upon hire.
  • Reconciles payment, deduction and benefit amounts each payday prior to distribution of funds.  Monitors payroll using spreadsheets and reports.
  • Other duties as assigned.
