Support all Community Education programs, with the primary function of supporting our Community Education program staff at the Educational Service Center as well as supporting the Executive Director and Director of Community Education.  This position will be cross trained in multiple program areas such as Enrichment, Facilities Scheduling, and other Out of School Time programs.

Job Summary:  The essential functions of this job include, but are not limited to, the following fundamental job duties:

Delivering customer service that embodies the District mission.
Assisting site/department leaders with communications.
Acting as a liaison between parent(s), student(s), guardian(s), community and site/department staff.
Delivering support for multiple site/departmental program initiatives.
Performing general office duties such as typing, filing, copying, faxing.
Creating, updating and maintaining handbooks and manuals.
Assisting in ordering supplies and tracking inventory (general office and equipment).
Attending meetings and recording meeting minutes as requested, some may be evening hours.
Developing and distributing communications to site, department and vendors (Peach Jar).
Maintaining site, department and/or supervisors calendar.
Scanning and/or retrieving information located on the system’s network.
Creating and/or entering data into spreadsheets and/or databases.
Preparing and maintaining student and/or staff records.
Maintaining and updating records for site/department.
Coordinating name badge renewal for site/department.
Assisting with the planning and coordination of site/departmental events as needed
Scheduling meeting rooms and/or events as needed.
Scheduling and preparing materials and rooms for meetings and/or conferences.
Coordinating the interviewing process with applicants and supervisors.
Coordinating access rights to information systems.
Maintaining and distributing emergency call lists.
Distributing, maintaining and ordering building access cards and keys when necessary.
Coordinating and monitoring drills and evacuations.
Facilitating communication between site/building leaders/staff to alert of emergency situations.
Assist all program areas in community education with registration, billing, and customer service as needed.
Minimum qualifications include:

High school education or equivalent.
Two years clerical experience in related area.
Preferred qualifications: Extensive public relations skills.
Scheduling experience.
Knowledge, skills, and abilities include:

Understanding of data entry concepts.
Knowledge of spreadsheet and database management software and word processing skills.
Fundamentals of general office and general administrative procedures and operational requirements.
Understanding of office equipment and typical productivity software, databases or customized systems/applications.
Knowledge of basic record retention, record/file/database maintenance requirements.

Lead Human Resources Leave Specialist

Job summary: The Lead Human Resources Leave Specialist is responsible for leading and actively supporting all district staff in leave administration and attendance management in addition to providing leadership and work direction to the Human Resource Leave Specialist and the Human Resources Attendance Specialist. This position provides guidance, training and support to all HR staff on the leave and attendance processes and ensures compliance with federal and state statutes/rules and district contract language.This position will also lead implementation of new or changing state and federal laws and regulation pertaining to employee leaves and attendance.  Provides excellent customer service to supervisors and staff.

Responsibilities and tasks include:Ensures compliance with state and federal laws and regulations. Research and keep up to date with new and changing state and federal laws and regulations regarding employee leaves.
Interpret and make recommendations to update current processes and procedures and implement new and changing state and federal laws and regulations regarding employee leaves.
Partner with HR Leave Specialist and HR Attendance Specialist to ensure up to date and accurate documentation of work processes and practices.
Provides support and daily work direction.Partner with HR Leave Specialist and HR Attendance Specialist to act as a first resource for questions regarding practices and process.
Act as back up for HR Leave Specialist and HR Attendance Specialist, supporting their roles during absences and periods of high demand.
Partner with HR Business Partners and ADA/Worker’s Compensation Specialsit to ensure timely and frequent communication supporting district employee needs.
Work closely with payroll and HR Specialists to ensure pay for employees is accurate and timely.
Develop and maintain process and procedure documentation.
Provide support to districts overall benefit program.Partner with the HR Coordinator to support benefit program updates, renewals, and implementing employee benefit programs.
Create and disseminate employee benefit educational and informative materials.
Initiates applicable personnel actions related to employee leaves cycle. Determine leave eligibility including contractual leaves and FMLA with employee request and interpreting contract language.
Develop compensation calendars for leaves including eligibility for pay.
Communicates via email, written documentation, in person and phone with employees and supervisor.
Approves leave based on relevant medical documentation.
Maintains contact with employees and supervisors throughout leave and coordinates all aspects of return via phone and email.
Advises employees and managers on the interaction of leave laws, contract language in terms of time off.
Works with human resources and payroll teams to identify and develop functional improvements in order to streamline processes.
Determines when employees are eligible to apply for long term disability and completes employer long term disability questionnaire for carrier.
Determines benefits eligibility of employee during and after leave.
Develops and updates documentation of leave processes.

Skills, Knowledge & Abilities include:Enhanced knowledge of employment laws and practices.
Enhanced knowledge and experience in the administration of benefits and compensation programs and other human resources programs.
General knowledge of labor contract law and principles.
Enhanced knowledge of public sector organization, functions, operations, and jobs; understanding mission statement, goals, and philosophy as it impacts the support functions and responsibilities of human resource programs and services.
Enhanced knowledge of the operation and applications used in maintaining personnel files, records retention, record/file/database maintenance requirements, compliance reporting, and administrative requirements pertaining to human resource programs and objectives.
Enhanced knowledge of district administrative policies and procedures.
Excellent computer skills in a Microsoft Windows environment and the Internet, including Excel and demonstrated skills in human resource information system (HRIS) database management and recordkeeping; ability to learn new computer program applications quickly.
Performing assigned functions with minimal direction in accordance with established set departmental operations.
Leading the work of others by providing timely, tactful, and detailed feedback.

Minimum qualifications include: 2 years college
Course work in human resources, health care management, or equivalent of 4-6 years of increasingly responsible professional human resources work experience.
Working knowledge of state and federal leave laws and regulations.
Preferred qualifications include: Excellent oral and written communication skills; business letter writing and report preparation.
Excellent interpersonal and coaching skills; ability to work collaboratively with others.
Evidence of practice with a high level of confidentiality.

Start date would be late August/early September  to ensure smooth start to the 24-25 Targeted Services school year as this position recruits other staff to teach and support the program.

PLEASE NOTE there will be required online material training to ensure we are in compliance Targeted Services statutes.

Responsibilities and tasks include:Communicate regularly with the Targeted Services Staff, students, and families.
Develop ongoing out-of-school time program.
Oversee program details such as book facilities space, plan field trips, request busing, and complete and process necessary paperwork.
Promote effective use of time, materials and sets standard for student accountability.
Implement and recruit students and staff for the school year and summer programs .  This does mean helping to refer students to summer Camp Rocks programs.
Maintain the continual well-being of the students in the program.  For example, individual student conferences as needed with parents and staff.
Observe student behavior and assist staff with student needs and behaviors.
Keep student and program related records such as attendance, class request forms, schedules, and others as determined by the Program Administrator.
Ensure teaching staff submit attendance on time each month!
Manage and ensure every student enrolled has a Continual Learning Plan (CLPs) that are signed, and complete.
Approve MyTime/sign time cards if needed.  Communicate with program coordinator about attendance needs or absences.
Assist with data reports or informaiton.
Support and ensure staff are compliant with program guidelines such as attendance entering, lesson plans, activity structure, ratios, CLPs, graduation incentive codes, reporting, prep time, etc.
Connect with families, parents, and the community and gather input periodically to use in planning.
Community outreach to seek volunteers and program ideas.
Prepare lunch/snack counts accurately and complete any required food service forms.
Attend all staff meetings, workshops, and Community Education sponsored events.
Train, develop, recruit, and supervise staff.
Connect with nurse regarding medical needs as needed for students enrolled in program.
Planning and purchasing of supplies and equipment.  Work with program coordinator on these purchases.
Track participant registration as it relates to targeted services enrollment.
Coordinate a system for substitute staff and class cancellations.
Maintain individual class budget worksheets as well as overall program budget.
Work with other programs regarding shared space.
Communicate regularly with school day staff and other center locations regarding student recruitment and progress.
Communicate and collaborate wtih families around students needs and program informaiton.
Other duties as assigned.

Minimum Qualifications include:High School Diploma
Minimum of 12 college credits or post-secondary courses in Youth Work, Education, Recreation, or similar field
Out-of-school time experience preferred
Prefer staff who has familiarity or has worked in Targeted Services programs.

Knowledge, Skills and Abilities include:Ability to plan, organize and implement programs.
Ability to evaluate information and prepare recommendations.
Knowledge of the techniques for providing excellent customer service.
Excellent oral and written communication skills.

Ability to organize, prioritize and work independently as well as produce work in a timely manner.
