Administrative Assistant III to the Business Manager
APPLICATION DEADLINE:October 7, 2016 RESPONSIBLE TO:Business Manager POSITION:District Administrative Assistant III STARTING DATE:November 1, 2016 or earlier RESPONSIBILITIES: 1.Provide support to the Business Manager, finance department, and other finance system users. 2.Maintain and audit employee leave of absence records on the AESOP and TIES systems in correspondence with the semi-monthly payroll cycle (requires knowledge of leave benefits as outlined in the current employment contracts and agreements). 3.Provide support to the Payroll Clerk by preparing and uploading timesheets. Prepare various reports relating to leave payouts, workers compensation, or time off without pay. 4.Maintain budget worksheets to include all active account codes in accordance with UFARS. Assist with extraction of budget data, verify budgets submitted by District programs, and import budget amounts to the finance system. Maintain retrieval system to ensure efficient access of budgets and financial records. Provide finance system training and support. 5.Input first report of injuries to the software system and maintain current workers’ compensation files. Coordinate with medical and insurance offices regarding the workability of the employees. Provide training and support to employees and supervisors. 6.Review, audit, and log lost time for individuals who are classified as OSHA cases and post the OSHA log annually in accordance with OSHA regulations set forth by the State of Minnesota. Prepare OSHA’s Form 300; 300A and 301 throughout the year. 7.Prepare, maintain, request, and print monthly investment report, annual 1099’s, workers’ compensation reports, year-end audit reports, UFARS state reporting, and other various financial reports as needed. 8.Sort, distribute, and/or deliver mail. 9.Record and deposit incoming cash and checks to the on-online banking system or courier service and distribute information to the Accounts Receivable Clerk. 10.Other duties as assigned.
