JOB DESCRIPTION:
Minnehaha Academy seeks a Facilities Director. This is a full-time position and reports to the Chief Financial Officer. This position will provide leadership and supervision to staff and oversee the operations of buildings and grounds, custodial services, and security for the school in an efficient, cost-effective manner with the primary focus on the needs of the people served.
RESPONSIBILITIES:
- Responsible for supervision (recruiting, interviewing, hiring, dismissal, evaluation, promotion, and training) of 3 direct staff and indirect supervision of several seasonal employees and custodial staff.
- Evaluate work assignments to assure reasonable and equitable workloads for personnel.
- Coordinate, develop and implement a program of orientation for new personnel and a program of in-service training for all veteran personnel, designed to improve individual work performance.
- Coordinate the work schedules of all full and part-time employees to ensure proper coverage of all school activities and scheduled vacations with a minimum impact on building coverage.
- Research, develop and implement new work methods and procedures for all buildings and grounds staff to maintain a cleaner, healthier, safer, and more efficient environment in which to work and learn.
- Research, test and implement the use of new products and equipment to enhance the efficiency and effectiveness of custodial and maintenance procedures.
- Develop and implement a schedule of repairs and preventive maintenance of all district facilities and department equipment. Update the PPRRSM capital planning document quarterly and report to the Finance Committee regarding capital planning on an annual basis.
- Regularly inspect both properties to assure they are operating properly, efficiently, safely and within guidelines established by state and municipal codes.
- Manage projects to ensure they are completed in a timely and quality manner.
- Assist the senior leadership team to develop, implement, maintain, and refine the school’s Master Facility Plan, propose innovative and growth ideas to support the broader strategic plan of the school, and provide executive level ideas and presentations as needed.
- Develop specifications, seek bids, and oversee the implementation of large capital improvement projects assuring quality materials and workmanship are used and to make decisions to resolve conflicts and document interpretations.
- Investigate mechanical, electrical, and structural failures of buildings and equipment and analyze for needed repair or replacement and implement corrective action.
- Develop, maintain, and refine a budget for operations and capital improvements, managing variances and seeking cost-saving measures where possible.
- Working with the CFO, helps develop a five-year plan for operations and capital improvements.
- Serves in a lead role on the Crisis Management Team. Annually leads and conducts an internal safety and security audit. Develops plans and strategies for continual improvement in these areas. Serves as a primary liaison with local law enforcement and emergency personnel.
- Oversee and continually enhance school security through advanced knowledge of the systems (fire alarms, vape detectors, camera systems, emergency communication system, and lock down system), pulling camera footage and enhancing screen shots as needed, active involvement in adding security staffing as requested, assisting with policies around facility rentals and usage, and other tasks as needed to ensure buildings and assets are safe and secure.
- Assist with insurance claims as needed.
- Foster an attitude of support, on the part of all department personnel, for all schoolwide and community activities which take place in our facilities.
- Perform other duties and assume other responsibilities as assigned or apparent.
