General Summary:
The goal of the Payroll Specialist position is to perform District payroll responsibilities promptly, accurately, and efficiently in accordance with District policies, procedures, and schedules with minimal supervision.
The Payroll Specialist is responsible for providing payroll and benefit related services to all employees of the Minnesota Valley Education District (50%) and Le Sueur-Henderson Public Schools (50%) with excellent customer service. The position involves managing confidential employee records to ensure that they receive accurate compensation and benefits due to them.
The position requires considerable judgment and discretion while performing payroll calculations and changes for processing while efficiently managing daily work pressures. The position requires concentration on a volume of work which must be completed within a limited period of time and specific deadlines.
Major Duties & Responsibilities:
Inputs, calculates, and creates payroll into SmartHR system using payroll claims, Frontline system reports, etc. for information
Codes, prepares, and enters payroll timesheets
Make changes in employee payroll records as requested by employees, e.g., address changes, exemptions, etc.
Sets up new employees as they are hired and during onboarding
Maintains up-to-date employee payroll deduction files and payroll correspondence files
Processes deductions from payroll and prepares checks for liabilities
Prepares checks for health, life, dental, and disability insurance and insurance bills for up-to-date membership information
Prepares quarterly tax returns and other reports as necessary
Tracks sick leave, vacations, emergency leaves, personal leaves, and leaves without pay
Sorts and arranges for distribution of annual W-2’s and 1095 forms to employees
Responds to questions and inquiries concerning paychecks, benefits, deductions, or other payroll-related questions
Reconcile benefit deductions to monthly statements
Perform required Affordable Care Act (ACA) reporting
Education and Experience:
High school diploma or equivalent
Associate degree in accounting or business with coursework in human resources, payroll, or accounting preferred
Previous payroll or accounting experience
Knowledge, Skills and Abilities:
Knowledge of bookkeeping and payroll related procedures and systems
Knowledge of payroll and benefit laws and regulations
Knowledge and experience with automated accounting and payroll systems, preferably in a school setting
Knowledge of office administration procedures with an ability to be detail-oriented and highly organized

Health Assistant
Terms/Schedule: 6 hours, 45 minutes/day (approx. 8:30AM- 3:45PM), 186 days/year.
JOB GOAL: To assist in the delivery of an overall district health service program.
ESSENTIAL FUNCTIONS:
1. Work with students, staff, parents, and the public in sometimes stressful situations in a positive manner.
2. Help identify children with health problems, encourage the correction of them, and alert the school nurse.
3. Serve as the initial contact person between the home and school in general health matters, referring more in-depth health concerns to the school nurse, as well as facilitating communication between the parent and the nurse.
4. Appropriately and in a positive manner represent oneself as the health assistant and clarify this to staff and parents when referred to as the school nurse.
5. Communicate with the school nurse when assessment and evaluation of a student’s health condition is required or when further medical information is obtained from parent or other providers.
6. Maintain an awareness of community health resources. Communicate with the school nurse who initiates the referral.
7. Assist in providing a healthful school environment.
8. Function appropriately within the limits and roles of the position and the responsibilities delegated by the School Nurse according to additional health in-service and staff development. This includes but is not limited to medication administration following Wisconsin school medication law, as well as other procedures as delegated by the school nurse.
9. Provide personal care and procedures, e.g. catheterization, diapering, hygiene procedures, tube feedings, diabetic testing and care, and as determined by school nurse.
10. Perform other duties as determined by the School Nurse and/or principal.
11. Appraise the immediate health status of students and provide appropriate first aide.
12. Lift/or otherwise provide physical assistance to students as necessary for personal care or first aid.
13. Set up and assist with health related screenings of students.
