The Hermantown Community Schools main office is in Hermantown, Minnesota. The school district has an approximate enrollment of approximately 2,126 pre-kindergarten through grade twelve students.

Essential Duties:

1. Communicate in a positive and effective manner with staff, community members, visitors, and/or vendors.
2. Perform clerical tasks which require the application of independent judgment and familiarity with School
Board policies, and district procedures and school-based rules and regulations.
3. Establish, maintain, and monitor accurate, neat, and efficient electronic and manual filing systems.
4. Meet timelines and perform multiple tasks in an efficient manner.
5. Give attention to detail.
6. Work with frequent interruptions.
7. Maintain confidentiality and professionalism in school and community.
8. Ensure attendance (at least 95%), punctuality, and dress are appropriate.
9. Maintain an understanding of the Uniform Financial Accounting and Reporting Standards (UFARS) coding
system.
10. Assist the Director of Business Services with the annual financial audit.
11. Update district website as needed.
12. Participate in district approved staff development opportunities.
13. Perform all other duties as assigned.

Human Resource Specific Duties:

1. Maintain employee personnel records and HIPAA files.
2. Prepare new hire files for payroll by ensuring proper forms are complete and accurate. Calculate salary and
benefit information. Report new hires to appropriate agencies.
3. Assure employees have completed proper training and paperwork before reporting for duty. Track
certificates and training in HR module.
4. Process payroll withholding payments.
5. Reconcile all payroll bills on a timely basis.
6. Reconcile the general ledger payroll liabilities on a monthly basis.
7. Prepare and balance payroll reporting to government agencies on a timely basis including Social Security,
Form 941, TRA, PERA, W2s, Unemployment, Hours Worked.
8. Process Family Medical Leave Act (FMLA) information as required by federal and state law.
9. Obtain and coordinate communication regarding all medical release, return to work paperwork, and medical
leave of absence documentation from applicable employees.
10. Become familiar with the Affordable Care Act (ACA) and record keeping requirements. The Payroll
Specialist will assist with accurate tracking.
11. Maintain the Flexible Benefit Program.
12. Process COBRA information as needed.
13. Type contracts for all personnel.
14. Maintain tax sheltered annuity program.
15. Maintain the District health insurance plan. This includes processing premiums, HRA, and HSA
contribution payments, as well as communicating and processing open enrollment information.

16. Participate in the annual evaluation of the district’s insurance benefit plans and help implement any new
plan offerings.
17. Process Workers Compensation information as needed.
18. Assist the Secretary to the Superintendent of Schools and Board of Education with preparing tenured and
non-tenured teacher seniority list by the deadline in the Master Teacher Agreement.
19. Work with the Secretary to the Superintendent of Schools and Board of Education and the Director of
Business Services to verify and distribute annual employee letters of assignment per Local 70 agreement
time lines.
20. Maintain, initiate, and coordinate annual updates to the Employee/Personnel and Substitute Manuals in
collaboration with the Payroll Specialist and Director of Business Services.
21. Answer employee questions regarding payroll/personnel issues.
22. Serve as a backup for the Payroll Specialist.
23. Serve as a backup for the Secretary to the Superintendent of Schools regarding posting of jobs and
processing background checks.

Qualifications, Knowledge, Training, and Experience:

1. Post-secondary education desirable in accounting, human resources, or related field.
2. Previous experience in payroll/personnel.
3. Knowledge in the use, operation, and care of computers and other office equipment as well as software
programs (i.e. SMARTFinance, Word, Excel, and website management).
4. Accurate data entry skills.
5. Ability to work independently and prioritize tasks.
6. Willingness to work as part of a team, offering assistance to others in the district office as your own
workload permits or deadlines require.
7. Excellent written, oral, and interpersonal communication skills as applied to interaction with co-workers,
supervisor, the general public, etc. sufficient to exchange or convey information and to receive work
direction.
8. Analytical and self-auditing skills.
9. Able to accurately key 45 words per minute.
10. Excellent organizational and people skills.

ASD Long Term Substitute Teacher 1.0 FTE
