Administrative Assistant – Special Education

Hours/Day: 8 hours Days/Year: 260 days Classification: Level III Essential Functions: Processes, calculates, enters, edits and monitors special education expenditures. Assists with analyzing special education legislative updates and other procedural guideline changes. Advises director and coordinators on the budget administration. Compiles and analyzes District information such as employee salaries, open enrollment, and other data and develops reports as requested. Compiles, maintains and updates records including student and personnel data, billings, and budgets. Provides assistance to students, teachers, parents and other agencies making appropriate decisions to respond to situations when the Director of Special Education and coordinators are not available. Collects and prepares confidential data for the district. Maintains confidential records related to child count for special education programs. Assists with LCTS procedures and calculation of revenue verification. Generates and codes purchase orders, vouchers and billings for supplies, medical assistance, vendors and public and private resources. Performs advanced secretarial and routine clerical work involving tasks such as maintaining statistical information, inputting data into various district systems (student information system and special education student plans), distributing messages, copying, faxing, processing incoming and outgoing mail, filing, and typing documents. Coordinates and schedules various meetings and reservations; orders various supplies for office; generates and codes purchase orders, vouchers and billings for supplies. Provides customer service to students, staff, parents, visitors and the general public. Performs other duties as assigned.
