Job Summary:
To inspire and prepare each and every scholar with the confidence, courage and competence to achieve their dreams; contribute to community; and engage in a lifetime of learning by providing specialized clerical and technical duties related to the assignment or placement, as well as related responsibilities requiring creative solutions to specialized site/department needs. Answer correspondence and assemble highly confidential and sensitive information. Interact with a diverse group of external customers as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, organize and carry out a diversified workload, and make recommendations for changes in office practices or procedures.
Responsibilities and tasks include:
– Responsible for record retention and records request, homeschool documentation, LCTS for the district to include training staff, order textbooks for non-public schools, submitting homeschool and non-public data on behalf of the district to MDE.
– Provide support to the Assist Director of Student Services.
– Provide support as needed for creating and maintaining staff registrations in Power School.
– Provide support and schedule permits for Student Services staff in the Facilities Scheduling program.
– Delivering customer service that embodies the District mission.
– Assisting school/department leaders with communications.
– Acting as a liaison between parents, students, community and site/department staff.
– Communicating and coordinating services with internal and external vendors to ensure quality service to our school system.
– Submitting business forms, requisitions, orders and school board approval forms.
– Assisting with the planning and coordination of site/departmental events as needed (e.g. materials, transportation).
– Collaborating with food service personnel for assistance with food/beverage requests.
– Maintaining records on staff absences.
– Scanning and/or retrieving information located on the system’s network.
– Creating/inputting data into spreadsheets and/or databases.
– Preparing and maintaining records (vendor, staff and/or student records).
– Maintaining and updating records for site/department (e.g. department expenditures, budgets).
Minimum Qualifications include: High school graduate or equivalent; Prior customer service and Microsoft Office experience.
Preferred Qualifications include:
– Vocational training in secretarial office procedures and Synergy SIS/SE network training
– Prior related secretarial/clerical work experience
– Proficiency managing various budgets and experience in an education setting
Knowledge, Skills, and Abilities include:
– Understanding of data entry concepts and ability to learn statewide reporting systems (MIN-ITS)
– Knowledge of spreadsheet and database management software and word processing skills.
– Advance knowledge of general office and general administrative procedures and operational requirements.
– Understanding of office equipment and typical productivity software, databases or customized systems/applications.
– Ability to work successfully in a team setting;
– Understanding of data privacy requirements, policies, procedures, laws and rules as it pertains to job assignments.
Salary range: Class V-B, $24.10-$26.49/hour; View salary grid on Page 5, Section 1, and Classification, Pages 6 – 7, Section 3 of the Administrative Education Support Professionals (AESPs) contract
Work schedule: 260 Days – 40 Hrs/wk
