Administrative Assistant Position:
The MSHSL is seeking a full-time Administrative Assistant primarily responsible for supporting the administration of our athletic and fine arts programming. This position is integral in planning and supporting the operation of tournaments and provides customer service to our member schools, administrators, and coaches. The ideal candidate is an excellent communicator, highly organized with ability to plan and implement, strong team player, is positive and cooperative and operates efficiently and effectively. A basic understanding of MSHSL sponsored activities and athletics and programs, embraces challenges and has a record of high-quality performance.

Compensation and Benefits:
• Salary ranges between $54,000 and $60,000 and commensurate with professional qualifications, experience and comparable positions

Primary Responsibilities:
Administrative Assistance and Support
• Strategic planning of projects and management of tasks
• Project management within programs
• Support the management of tournament operations
• Support the operation of committees
• Communication with member schools
• Assess workflows and practices and identify areas of improvement
• Team with others to increase efficiency and effectiveness
• Minor travel may be required to tournament venue sites

School and Public Assistance and Support
• User training/assistance with technology applications and website tools
• Enhance skills of end users through individual or group training

Office Support Tasks
• Prepare documentation and facilitate online and in-person meetings
• Assist with organization-wide projects
• Assist other staff members with projects

Qualifications:
• Exceptional customer service and communication skills (verbal and written)
• Education or training beyond a High School Diploma preferred
• Evidence of a team centered approach and exemplary interpersonal skills
• Proficient in Microsoft Suite – Word, Excel, PowerPoint, Outlook and other current office technologies
• Desire to add and improve skillset and advance our use of digital platforms and technologies
• Strong organizational skills, effective time management, and proven ability to manage several projects concurrently
• Values diversity and can work effectively with individuals from all cultures, economic strata, and ethnic backgrounds
• Ability to work both independently and as part of a team

Human Resources Specialist

This position is accountable for providing timely support for internal and external customers relative to all Human Resources products and processes consistent with School Board policies and the South Washington County Schools mission and strategic goals.

PRIMARY JOB FUNCTIONS:

  • Facilitates all recruitment and hiring consistent with the District’s strategic plan and goals including a focus on diversity and respect. Ensures appropriate authorizations are received to initiate recruitment cycle. Posts positions and facilitates appropriate advertisements, in accordance with applicable contractual requirement
  • Guides application and interview process in compliance with District procedures and union contracts and federal and state laws. Adheres to all hiring procedures and resolves questions from applicant, employee and/or supervisor, and union regarding the employment process.  Conduct employee orientations
  • Maintains accurate electronic and paper application and employee records consistent with legal requirements and district policies.
  • Ensures all appropriate agenda items and administrative reports are prepared for the School Board consistent with Board Policy and Superintendent’s directives.
  • Inputs all appropriate information into the HRIS system ensuring documentation trail to provide historic accountability and assist in future problem solving.  Inputs all required information into the HRIS system to ensure that employees’ pay is exported accurately and appropriately and that employee changes are timely. Prepares reports as required by management and/or government agencies.
  • Processes employee leave requests consistent with District policies and procedures and appropriate union contracts. Coordinates with Payroll and Benefits to ensure employees are compensated correctly and offered appropriate benefit.
  • Coordinates with District employees and supervisors in maintaining and updating accurate job descriptions.
  • Monitors performance evaluations to ensure consistency with district policy and procedures and union contracts.  Provides annual status reports to Cabinet members highlighting compliance concerns.
  • Recommends wage adjustments for employees designated on the Miscellaneous Wage Sheet after completing internal and external market evaluations.
  • Coordinates and participates in position evaluation and reclassification processes consistent with union contracts, district goals, and financial resources.
  • Provides input into contract negotiation items and may participate in the negotiation process.  Coordinates and works with various departments to ensure compensation and language changes are implemented, and employees’ pay and benefits are accurate.
  • Provides assistance to employees and supervisors relative to HR questions and concerns or refers questions to the appropriate person. Provides advice and interpretation of the District’s Human Resources policies and procedures, legal requirements and collective bargaining agreements.
  • Evaluates all products, processes and services and provides recommendations to better meet customer requirements; reduce expenses and reduce cycle time.
  • Identifies potential employee and administration communication and training issues.  Conducts information and skill building training to assist various employee groups in more effectively handling Human Resources related policies and procedures.
  • Calculates severance eligibility and amounts upon request for employees.
