Job summary:  Schedule and coordinate the use of ISD 279 Facilities and spaces and maintain positive public relations with school district staff and community members.

Responsibilities and tasks include:

Maintain up to date schedules of community and district use of facilities in all district facilities and maintain daily communications with facilities scheduling team.
Process all permits in compliance with district school board Policy 902 – Use of School District Facilities and Equipment.
Process all permit requests;  1) Utilize and maintain web based software and technologies to schedule all school, district, parks & recreations, athletic association, church rentals and  community events in all ISD 279 facilities.  2) Prepare all estimate rental and other charges.
Complete, maintain and distribute building use permits, including cancelations and revisions, for facility usage.
Maintain system for follow up with users of facilities.  Contact custodians, building heads, building supervisors and users to determine problems and recommend future usage.
Update, assemble, mail or e-mail facility use information to all facility users, e.g. policy guidelines, insurance information, registration procedures. Keep, maintain and update files on insurance and hold harmless agreements for groups using district facilities.
Work extensively with the public, district employees, city offices, and park and recreation department personnel regarding scheduling of facilities.
Work with accounts receivable on billing to groups using the schools (custodial, rental, building supervision and all other fees).Keep, maintain and update files on insurance for groups using district buildings.  Receive insurance information, verify with user and insurance company.
Arrange with schools and city offices for primary, general elections and caucuses:  school board elections and bond issues.
Type correspondence, forms, etc.
Minimum qualifications include:

High school education or equivalent.
Two years clerical experience in related area.
Preferred Qualifications:

Extensive public relations skills.
Scheduling experience.
Knowledge, skills, and abilities include:

Understanding of data entry concepts.
Knowledge of spreadsheet and database management software and word processing skills.
Fundamentals of general office and general administrative procedures and operational requirements.
Understanding of office equipment and typical productivity software, databases or customized systems/applications.
Knowledge of basic record retention, record/file/database maintenance requirements.
The attributes of an efficacious learner: resourceful, self-directed, responsible, problem solver and skilled communicator.
The ability to collaboratively solve problems.
The ability to work in an organized, efficient, and process-oriented manner.
The ability to apply and follow record keeping procedures and protocols to maintain and process data.
The ability to perform work assignments requiring attention to detail, confidentiality, precision and accuracy in accordance with set deadlines.
The ability to perform assigned functions with minimal direction in accordance with established set departmental operations.
Salary:  View salary grid on Page 5, Section 1, and Classification, Pages 6 – 7, Section 3 of the Administrative Education Support Professionals (AESPs) contract
Work schedule: 8am – 4:30 p.m., 5 days/week, Monday – Friday  – Community Education Program
Job type or FTE: AESP – Class IV-B –  260/261 day/year

Previous superintendent experience preferred, but not required.

SALARY/CONTRACT:  A competitive compensation and benefits package, with a starting salary range of $140,000 – $160,000, will be negotiated commensurate with experience and qualifications. Contract length is negotiable

as provided in Minnesota statute. Additional benefits may include health, life, dental and long-term disability insurance; HSA, 403(b) match; and paid vacation, holidays and sick leave.
