Under the direction of the Human Resources Manager, the Human Resources Assistant will provide administrative, organizational and technical support to the Human Resources Department.

  • Assist department with maintaining accurate and current personnel data in HRIS and other databases.
  • Acts as a main point of communications for internal and external stakeholders. Monitor the HR main email and HR main phone line, respond to inquiries or direct to the appropriate HR Specialist and/or HR Manager.
  • Support onboarding and orientation for new hires, including but not limited to MN Wage Theft Law Employee Notices, I-9 verification, and contract preparation.
  • Complete weekly HR reports, including but not limited to Minnesota New Hire reporting, Social Security Number Verification Report, and Demographic changes.
  • Assist HR Specialists with staffing spreadsheets.
  • Prepare and distribute details of all proposed employment changes for School Board meetings; record and communicate all Board-approved employment changes (e.g., new hires, resignations, leave of absence, assignment changes, etc).
  • Organize and plan HR Department meeting, including but not limited to bi-weekly HR meeting, monthly HR/Payroll meeting, and HR participation in monthly Finance meeting.
  • Coordinates and submits content for department web pages.
  • Support Employee Access Center access questions, including but not limited to password resets, demographic update questions, and leave request questions.
  • Assist Executive Director of Administrative Services and HR Manager during contract negotiations, including research, reports, updating changes, and preparation of final contract for School Board approval.
  • Participate in fiscal year-end processes in the summer with entire HR department, including moving staff in steps and lanes, updating salary schedules and calendars in HRIS.
  • Assist with digitizing and organizing departmental documents of record.
  • Provide detailed and analytical information and reports as requested.
  • Responsible for ordering supplies on the district’s finance program and purchasing with the district charge card.
  • Assist with staff recognition activities.
  • Perform other duties as assigned by the Human Resources Manager.
